How to Create a Report with Custom Total Years Displayed Without Displaying Months

If you have a reporting requirement to display custom year totals in a report, without displaying the months, this example is for you.  A common need for this is with project planning, where different projects have different start dates and you want to see the total budget for say the next 2 years (as defined as that start date plus the next 11 months). In a report the user can select the project start date, then the report will display the total of the next 12 months, then 12 months after that, and so on if applicable.

They key elements used in this report sample are:

  • Time as a filter and a parameter to the report for the user to select the first month of the range that will be used to define Year 1 and Year 2.

  • A Custom Display As elements with a formula to define the time range for Year 1 and Year 2.

Setup steps

  1. Create a new report or edit an existing report.

  2. Place a single month as the Filter to the report as well as drag it over to the Parameters (optionally you can setup the parameter to prompt the user at run time for the start month, could even rename the parameter to Start Month as seen below).

  3. Place the Accounts onto the Rows of your report.

  4. Navigate to the Display As elements and drag over the Custom element (2 times for this example).

  5. Right click on the first Custom column and select Formula Assistant.  Replace the formula that is there with the formula below and click OK.

  6. Right click on the first Custom column and select Properties.  Enter Year 1 for the Label, click Apply.

  7. Right click on the second Custom column and select Formula Assistant.  Replace the formula that is there with the formula below and click OK.

  8. Right click on the first Custom column and select Properties.  Enter Year 2 for the Label, click Apply.

  9. Save and run your report.

If your version goes further into the future you can easily add years 3 and 4 but repeating the steps above and just keep adjust the time range in the Customer Display As formula.
